You may have the need to have your students reserve class times and/or limit the number of people in each class. You can do that within your system!
Begin by setting your System Reservation Preferences. See next 2 screen shots below to get to these Preferences:
You can then choose which Reservation Method you’d like for your school: Week or Window. See next 3 screen shots for how these two options appear in your preferences and the options available for each method. Detail on these two methods are below the next 3 screen shots.
Week Reservation Method allows you to permit a student and/or family group to make reservations for a specific week period which you can define, and gives you other options such as opening up reservations x minutes before a class in the case you would like to allow last minute reservations to fill any open spots.
Window Reservation Method allows you to permit a student or family group to make reservations for any amount of days into the future as you choose.
You can also have reminder emails go out the day of the reservation to your students, be sure to customize what your email would say on these reminders, see next screen shot for reference:
Be sure to select Save after changing your System Prefs and continue to follow steps below.
There are also settings in each Program that you can set on Max number of classes a Student can reserve in a Program. This is useful if you have different classes linked to one Program. Get to your Programs and Reservation setting by following the next two screen shots.
Next you will need to set the class up for taking reservations by editing your particular class, as seen in the next 3 screen shots. Be sure to click save after editing the class.
Once you have saved the prefs in both your system and the particular class, you can now see that the particular class shows a counter next to it on the dashboard as seen below. As students sign up for this class, they will show in the roster with a calendar icon next to their name showing they have signed up via reservation.
To send your Students the reservation link go to your media links and send them the following reservation link as seen in next 3 screen shots:
Once your student clicks on that link, they enter their name and they will be emailed a code. You can also set a code for them; either way their code is located within their student record. See screen shot below for where you can find a student’s code once it’s been created, this would also be where you can create one for them (remember to hit save at bottom of page if you create one for them).
Your student’s code can be used for reservations as long as they like; they do not need to request a code every time they need to make reservations.
NOTE: If there are multiple students linked to each other for family purposes, they can choose to reserve for multiple family members with the same code. See this how-to on linking family members: https://help.mybjj.cloud/dt_articles/how-do-i-link-students-to-each-other/
Again, you can limit within your preferences how many students in each class, how many reservations a student can make/have at one time, as well as how far out they can reserve.
Your system shows your students how many slots are open in the class prior to and after making reservations. This is helpful for families that have multiple members and want to be sure there are enough spots available before making reservations.
